Booking and Cancellation Terms
These booking and cancellation terms apply to the operations of Stilte (Business ID 3495984-2), a company providing nature and wellness services. By booking and ordering Stilte's services, the customer agrees to comply with these terms. The conditions outlined below are binding on both parties once the customer has ordered a service.
General Terms
Stilte provides services to private individuals and corporate clients. Stilte is not registered for VAT; therefore, all prices are VAT-free.
We reserve the right to change prices. The customer is responsible for the accuracy of the information they provide.
These terms are valid until further notice, and we reserve the right to make changes.
Stilte's services do not have a strict minimum age requirement. However, if the service description does not specifically mention suitability for minors, the guardian must ensure that the service is appropriate for the minor before registration. Individuals under 18 may participate in excursions with a guardian or with the guardian's consent. The guardian is responsible for their minor dependents for the duration of the service.
Renters of water sports equipment and participants in paddling trips are required to have adequate swimming skills. Those renting paddling equipment must also have sufficient skills to operate safely on the water. Equipment is not rented to persons under 18, and guardians must not hand over rented equipment to minors.
Booking and Payment of Services
The customer is responsible for familiarizing themselves with the service description, instructions, and related terms. Bookings can be made via the service provider's online shop, by email, or by phone. Orders are collected from the online shop by adding the services to the shopping cart. The order is confirmed by using the check-out functionality of the online shop to pay for the order. An order becomes binding once the customer provides the necessary information to implement the service. The customer will receive a confirmation email after making an order. Payment is made using the chosen payment method, subject to its terms. Late payment interest is charged according to the Interest Act.
Payment Methods
Stilte uses reliable and secure payment providers and does not store bank or credit card details at any time. Visma Pay (Visma Payments Oy, business-id FI24865594) is the payment facilitator of the online shop. Visma Payments Oy is a payment facilitator authorized by the Financial Supervisory Authority of Finland. The payment process is conducted in the online service of Visma Pay. Visma Pay or Visma Payments Oy is shown as the receiver of your payment in the bank account listing and in your invoice. Paying with Visma Pay is safe. All information is exchanged through secured connections.
With Visma Pay you can pay your order by an internet banking account, a wallet, a payment card (credit/debit), an invoice or a partial payment. The following methods of payment are supported: Osuuspankki, Nordea, Danske Bank, Oma Säästöpankki, Säästöpankki, Aktia, Paikallisosuuspankit, S-Pankki, Ålandsbanken, MobilePay, Apple Pay, Google Pay, Siirto, Klarna, Visa-, Visa Debit-, Visa Electron-, MasterCard- and Debit MasterCard payment cards. MobilePay: You can pay with your MobilePay wallet if you have allowed online payments in the settings of the MobilePay application. Payment via MobilePay takes place directly from the payment card linked to MobilePay. If charging the payment from the linked card fails, MobilePay can not be used in the online shop. OP Lasku: A flexible invoice payment method. OP Lasku serves all Finnish banks' customers. Suitable for online purchases of up to 5000 € with an interest-free payment term of 45 days. The instalment option adds flexibility to purchases. Your purchases are visible in one place so you can easily keep track of them. Invoices are sent to you by email. Invoices must be paid by the due date. Late payments incur delay charges. If an invoice is paid after the due date and delay charges have already accrued, these will be invoiced separately.
If a payment is not successfully completed at the time of ordering, Stilte will not process the order.
Booking fee
A reservation fee may be charged for events and must be paid to confirm the booking. The remaining balance will be due later, at the latest at the start of the event. The final payment can be made by invoice, payment card, or via the MobilePay app.
No booking fee is charged for massage or pampering services. Payment is made in advance online or on site using the chosen payment method. Bookings are made through the booking calendar linked to the provider's website.
When paying with an employer-provided wellness benefit, the customer must ensure that the granted benefit covers the purchased service, and when using a massage benefit, that Stilte Massage Services has been added as a partner of the employer through the benefit service provider.
Provider's Right to Cancel or Change a Service
Stilte reserves the right to modify the course, duration, or route of nature services if necessary due to weather or other situations that may cause danger or inconvenience.
Customers must inform Stilte in advance of any health conditions that may pose a risk. Stilte may cancel or interrupt a service if the customer's actions create a safety risk or if their health condition is deemed a risk for service implementation.
A nature service may be canceled by the provider due to insufficient participants or guide illness. Cancellations will be communicated at least one week before the event whenever possible.
Force majeure situations beyond the organizer's control, such as strikes, natural disasters, or pandemics, may also prevent service delivery.
Canceled events will be rescheduled or an alternative service offered whenever possible. If a new date cannot be agreed upon, the paid amount will be refunded to the customer.
In force majeure situations, Stilte is not liable for compensation. Events may be canceled without compensation and compensation can be sought from your personal insurance provider.
For massage services, the customer must complete a patient information form at the first visit and notify the provider of any health changes affecting the treatment. Stilte collects and stores customer information according to applicable social and healthcare data laws.
If a booked massage or pampering treatment must be canceled by the provider, the customer will be notified as soon as possible.
Cancellation Terms
If the customer cannot participate in a booked nature service, they must cancel their reservation and notify the provider immediately in writing at info@stilte.fi. The customer is responsible for ensuring the cancellation is sent in time.
For services that include accommodation, such as retreats, the following cancellation terms apply:
- If the cancellation is made more than 45 days before the start of the trip, the reservation fee will be refunded in full.
- If the cancellation is made 21–45 days before the start of the trip, the reservation fee will not be refunded.
- If the cancellation is made 7–21 days before the start of the event, 50% of the total price will be charged.
- If the cancellation is made 3–7 days before the start of the event, 75% of the total price will be charged.
- If the cancellation is made less than 3 days before the start of the event, 95% of the total price will be charged.
If you fail to attend the service without notifying cancellation, the full price of the service will be charged.
Any refund will primarily be made using the original payment method.
- Interrupting a program service or retreat does not entitle the customer to a refund.
- The service provider may cancel or interrupt the program service if the customer's behavior causes a safety risk to themselves or others, or if their health condition is assessed to pose a risk to the execution of the service. In such cases, the service provider is not obligated to issue a refund.
- If the event must be cancelled due to force majeure, this does not entitle the customer to compensation. The customer should seek compensation from their insurance provider in such cases.
- If the customer must cancel participation in a program service or hike at the last moment due to illness or a similar situation, they should seek compensation from their own insurance provider.
- If the service cannot be arranged, for example due to too few participants or the guide falling ill, the full payment will be refunded. The refund will be made via bank transfer to the account provided by the customer or using the original payment method.
Cancellation terms for nature services are valid until further notice.
We reserve the right to apply different cancellation terms, which will be agreed upon separately in each case before confirming the booking.
If a customer cancels a booked massage or wellness treatment at least 12 hours before the appointment, no fee will be charged. If less than 12 hours remain before the appointment, the service provider has the right to charge 50% of the value of the unused service.
In case of complaints, please contact our customer service. Consumers have the right to refer any disputes to the Consumer Disputes Board.
Photography Permission
Photos may be taken during trips or events by the organizer. Images can be provided to participants upon request via email at no charge. Photos may also be used for marketing purposes within copyright limits. Online and printed materials aim to avoid clearly identifiable faces. If you do not wish to be photographed, inform the guide at the start of the event.
Provider Insurance
Stilte has valid liability insurance covering damages caused by Stilte's potential errors, negligence, or damaged equipment.
Participants in Stilte courses, trips, or retreats must have valid personal travel and accident insurance. The provider is not responsible for damages covered by the customer's own insurance. Customers must inform Stilte of any illnesses, injuries, or mobility limitations that may affect service participation.

4. Legal Basis and Purpose of Processing Personal Data
The legal basis for processing personal data under the EU General Data Protection Regulation is either:
- the explicit consent given by the customer (marketing register), or
- the customer relationship with Stilte and our legitimate interest in managing the customer relationship and targeting marketing (customer register).
The purpose of processing personal data is to maintain contact with customers, manage customer relationships, deliver products and services, conduct analytics and statistical purposes, and—based on the customer's consent—targeted advertising and marketing.
Data is not used for automated decision-making or profiling.
5. Data Content of the Register
We collect personal data provided by the customer, such as name, phone number, email address, and street address. We may also collect other information voluntarily provided by the customer.
The register also includes information on whether the customer has given consent for direct marketing via electronic communication channels.
We may collect health-related data when necessary for the safe delivery of services. Such health data is not stored in the register; it is kept separately and deleted as soon as it is no longer needed for service provision, and at the latest within 7 days after the service. Patient data related to massage services is collected and stored in accordance with legislation governing patient records.
Website visitors' IP addresses and cookies necessary for the functioning of the service are processed based on legitimate interest, including ensuring data security and collecting visitor statistics when considered personal data. Consent is requested separately for third-party cookies when required.
Surveillance camera recordings are automatically deleted within one week of recording, unless longer retention is necessary, for example, to investigate damage to premises or equipment.
6. Regular Sources of Data
Data stored in the register is obtained from the customer through, for example, website forms, email, phone calls, social media services, agreements, customer meetings, and other situations where the customer provides their information.
Camera surveillance data is obtained through camera systems installed in the premises.
Contact details of representatives of companies and organizations may also be collected from public sources such as websites, directories, and other companies.
7. Regular Disclosures of Data
Data is not regularly disclosed to third parties. Information may be published only to the extent agreed with the customer. For marketing purposes, efforts are made to obtain verbal consent from individuals appearing in photos taken at events or excursions if they are identifiable. However, published images are generally selected so that individuals are not recognizable.
Personal data may be shared, where necessary, with partners essential for service delivery. Data may also be disclosed to the extent necessary to ensure the customer's health and well-being. In addition, we may use trusted service providers for data processing, analytics, IT services, or campaign services.
Our online store offers payment methods provided by external service providers. Stilte does not collect or process any payment-related data such as credit card or bank account details.
8. Principles of Data Protection
We exercise due care in processing the register, and data processed through information systems is appropriately secured. When data is stored on internet servers, both physical and digital security are ensured.
The data controller ensures that stored data, server access rights, and other information critical to personal data security are handled confidentially and only by employees whose duties require it.
9. Right of Access and Right to Rectification
Every individual in the register has the right to check their stored data and request correction of incorrect or incomplete information. Requests must be submitted in writing to the data controller. The data controller may require proof of identity if necessary and will respond within the timeframe defined by the GDPR (generally within one month).
10. Other Rights Related to Personal Data Processing
Individuals in the register have the right to request deletion of their personal data ("right to be forgotten") to the extent that retention is not required by law. Data subjects also have other rights under the GDPR, such as restricting processing in certain situations.
Requests must be submitted in writing to the data controller. The data controller may require proof of identity if necessary and will respond within the timeframe defined by the GDPR (generally within one month).
